We are seeking a dynamic individual who will assist the Supervisor - Accounting & Compensation with payroll and accounting-related functions. The ideal candidate must be a self-starter with the ability to communicate effectively with personnel at all levels. The Compensation Accounting Analyst will be responsible for the day-to-day administration of the company's payroll process. In addition, they will be responsible for implementing quality control measures to ensure accuracy of reporting and compliance within the payroll compensation areas. The ideal candidate must have the ability to handle confidential information in a discretionary fashion and must be able to manage multiple deadlines in a fast paced environment with minimal supervision.

Essential Duties And Responsibilities

Will employ a number of duties in the areas of payroll compensation administration, accounting, project support, and a variety of administrative duties, including but not limited to the following:

Payroll And Benefits Administration

  • Day-to-day administration of the employee payroll and benefits, including, but not limited to:
    • Process bi-weekly and off-cycle multi-state payroll through ADP Workforce Now application
    • Manage electronic timesheets and hours using ADP Essential Time timekeeping system
    • Act as primary liaison to assist employees with all payroll related inquiries such as overtime hours, leave of absence, and tax withholdings
    • Set-up and calculate various earnings, deductions, wage garnishments, and benefit codes in ADP as needed
    • Reconcile quarterly and year-end wages and tax reporting
    • Collaborate with Business Operations (HR) team to maintain employee data and files
    • Tax withholding set-ups for employees in ADP application as well as registration for tax withholding accounts with new state agencies as required
    • Process employment verifications, unemployment and disability claims, and monitor and reconcile leave of absence pay
    • Administer 401K, FSA, and Deferred Compensation plan
    • Process and file various state and insurance premium payments
    • Provide internal and external parties with various compensation related reporting on monthly, quarterly, and annual basis
    • Assist with research relating to payroll compliance rules and regulations including federal and state/local compliance rules where we have employees

      Accounting And Financial Reporting
      • Preparation of day-to-day accounting relating to payroll compensation such as:
        • Prepare journal entries for bi-weekly payroll, payroll taxes, and benefits for month-end close
        • Prepare journal entries for vacation and bonus accruals as well as payroll allocations
        • Reconcile general ledger accounts to ADP payroll and Fidelity equity compensation records
        • Prepare monthly bank reconciliation and related journal entries for payroll and benefit accounts
        • Assist with the preparation of capitalized payroll calculations, including coordination of timesheet collection and prepare quarterly calculation package for management review
        • Assist with the annual budgeting process of property management payroll allocation
        • Assist with the technical accounting research relating to payroll and equity compensation accounting
        • Support financial reporting team in preparing data for the Company's Proxy SEC filing relating to Executive Compensation tables and SEC Pay Ratio calculation
        • Assist with the annual preparation of Deferred Compensation Plan statements and packages for Executive Management, tracking investments and distributions for Venture Investment Plan (VIP), and preparing calculations for Form D filing
        • Assist with internal and external audit requests as well as ad-hoc requests from regional teams and/or special projects

          Stock Administration
          • Assist with day-to-day administration of the employee's stock grants, including, but not limited to:
            • Coordinate with Executive Management, outside legal counsel, stock plan system administrator, and transfer agent for stock issuance to employees
            • Track the timing of stock vesting, including the timing of tax withholding elections, reviewing tax withholding calculations, and managing the stock tax net settlement process
            • Coordinate the Company's stock trading window, including tracking the trading approvals, communications with employees' brokers, and working with Financial Reporting team to ensure accurate and timely disclosures of our public filings

              Qualifications And Experience
              • Bachelor's Degree in Accounting, Finance, Business or related field is required
              • 4+ years of payroll processing experience is required
              • Prior experience with ADP Workforce Now and timekeeping system is highly desired
              • Compensation related accounting experience is highly desired
              • CPA, CPP, CCP is highly desired
              • Must be able to research compliance rules and regulations
              • Proficient in business related software: Microsoft Excel, Word, PowerPoint.
              • JD Edwards Accounting software experience desirable
              • Exceptional verbal and written communication, interpersonal and presentation skills. This position must be able to effectively communicate with senior management
              • Attention to detail a must
              • Must be able to handle extremely confidential information in an expeditious and discretionary fashion
              • Ability to work in a fast-paced environment and prioritize and meet deadlines
