Job Description Plastic Surgery Practice in Pasadena is looking to hire a Front Office Coordinator to join a leading team. Summary: We are a high-end boutique plastic surgery practice looking for a front office coordinator that has a passion for service oriented care and medical aesthetics. Applicants will be responsible for ensuring smooth operation of the office, including the delivery of excellent customer service. Applicants will be responsible for front and back office services such as greeting patients upon arrival, coordinating their visit with appropriate staff members in an efficient and pleasant manner, scheduling appointments, and managing phone calls, handling and sorting mail, and other imperative office duties. We are looking for individuals who are outgoing, highly motivated, with experience in customer service. Experience in the medical aesthetic field is preferred. Skills and Abilities: Superior interpersonal and communications skills. Outgoing and extremely comfortable interacting with patients and staff Superior listening skills and ability to empathize with others. Superior verbal and writing skills Appropriate sense of discretion in dealing with varied and difficult situations. Ability to convey an upbeat and positive attitude in all dealings with others, whether patients or staff members. Exceptional personal organizational skills to ensure outstanding customer service. High level of attention to detail Superior ability to be a ---self-starter--- who is proactive and can use critical thinking Must be able to manage changing priorities throughout the day, often with multiple tasks at a time. Knowledge and proficiency with Google Docs, iCloud, Excel, Word, and other basic office programs Must be comfortable with learning all products and services the practice offers in order to speak with patients about these items in a knowledgeable manner Knowledge of basic health insurance protocol/terminology strongly preferred Responsibilities include: Office Triage: Greets each patient warmly and with a smile upon arrival, addresses patients by be, determines needs, and ensures efficient transfer of care to other staff members as appropriate. Verify their information and communicate arrivals with the back office. Monitoring of Waiting Room and back office: Regularly interacts with waiting patients to ensure each is comfortable. Reassures those patients subject to excessive waits and informs clinical staff of status as needed. Ensures the office is orderly and clean throughout the day. Telephone Calls: Responsible for answering telephone calls to the practice. Greets each patient warmly by name and with an upbeat attitude, listens carefully, and follows proper phone protocol. Financial Responsibility: collects payment from patient, schedules follow up appointment, ensures new patient has written post care instructions. Office Ordering: order supplies and manage detailed monthly inventory Maintain Flexibility: cover shifts as office needs change, work with co-workers to cover vacations as needed. Answering heavy phones, scheduling appointments and rescheduling as necessary. Assisting with skin care product sales, stocking new inventory in our retail store area Checking patients out, clarifying patient instructions from M.D.s as needed and collecting payment for services and products. Other: perform other duties as assigned Areas of Expertise Needed to Succeed: basic accounting skills (recording revenue), daily operations experience, strong interpersonal skills, willingness to learn new skills on a regular basis and ability to implement new protocols as required. This position may be part- or full-time (to be determined during initial phone and interview screening). Some flexibility is also needed in hours and scheduling. Job Type: Hourly rate depending on skill set and experience
