Job Description The Human Resources Specialist will provide leave coordination services for employee leaves of absence under state and federal leave laws (including the federal Family & Medical Leave Act and Americans with Disabilities Act) and Company policy. This position is responsible for managing and processing the leave of absences, determining FMLA eligibility and sending out applicable correspondence regarding the status of leave of absence requests, and engaging employees in the interactive process to determine reasonable accommodations. The Human Resources Specialist will report to the Vice President of Compliance and supervise a Human Resources Representative in the administration of the Company's LOA/Reasonable Accommodation Programs. Primary ResponsibilitiesThe specific responsibilities include, but are not limited to the following:-- Supervise Human Resources Representative in day to day leave of absence activities-- Independently approves and/or denies leave cases based on relevant medical information. Coordinates and organizes all medical information and ensures that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.-- Works closely with employees to ensure that all relevant completed medical documentation is submitted for timely review. Maintains appropriate contact with all employees on leave and coordinates all aspects of return to work from a leave.-- Responsible for timely communicating approvals, denials, return to work status and other important information to managers and employees.-- Manages all administrative aspects of leave include tracking hours used/taken and working closely with Payroll to ensure that pay for employees is accurate and correct.-- Reviews employee request for ADA Accommodation and return to work restrictions-- Ensure maintenance of accurate and complete LOA records, files and reporting in accordance with company processes, policies and procedures, as well as any applicable regulatory information.-- Update and Maintain Leave of Absence tracker-- Communicate with managers and on the status of employees on LOA.-- Assists employees with FMLA and leave of absence questions.-- Work with Vice President of Compliance to ensure applicable forms, tools, process and policies are current and appropriate based upon requirements and changes to Federal or State laws.-- Review and understand policies, procedures, laws, standards, or regulations pertaining to Leave of Absence and Reasonable Accommodation.-- Perform regular self-audits to ensure accuracy and data integrity related to LOA and Reasonable Accommodation-- Use individual discretion to identify and escalate issues appropriately.-- Other duties as assigned. Required Skills/Abilities-- Excellent verbal and written communication skills.-- Excellent organizational skills and attention to detail.-- Ability to type at least 40 words per minute.-- Proficient with Microsoft Office Suite or related software.-- Must be able to respect and maintain highly confidential information.-- Effectively work independently and as a member of a team, quickly build strong working relationships, demonstrate a high-level of integrity, and establish a proactive approach to customer service. Education and Experience:-- Bachelor Degree in Human Resources or other related field preferred -- Minimum of 5 years' experience in Leave of Absence Program Administration is required. -- Minimum of 2 years' experience in a Human Resources supervisor role preferred.Physical Requirements:-- Prolonged periods of sitting at a desk and working on a computer.-- Must be able to lift 10 pounds at times.
