Overview

This position contributes to the success of Rusnak Automotive Group (the Company) by:

• assisting the department with claim submissions and warranty receivables recovery and all associated documentation in a professional, timely, and accurate manner to achieve individual proficiency goals established by management to support strategic plan objectives
• ensuring Repair Order booking and documentation complies with MFR's and corporate requirements; ensuring the Corporation and Service Technicians are appropriately compensated for work done whilst upholding the highest levels of professional integrity
  
  Responsibilities
  
  Efficiently and Effectively Assist with Claims Input and Warranty Claim Administration
  
  • Assist with inputting claims correctly and on a timely basis with all relevant information included
  • Seeks out and understands all manufacturer's publications relevant to warranty claim administration
  • Maintains accurate knowledge on all warranty claim processes and procedures.
  • Assists with ensuring repair order document storage complies with established corporate, legal and manufacturer's retention requirements.
    Consistently Works to Ensure Warranty Processes Are Maintained
    
    • Assist with processing warranty claims on a timely basis for each franchise or distributor.
    • Processes all warranty paperwork to ensure proper documentation.
    • Aids in verifying claim criteria required by factory or distributor.
    • Assist with reconciliation of all warranty receivables with payments through the appropriate accounting schedule.
    • Resubmits all rejected claims promptly or receives authorization to write them off.
      Quality / Correct Procedure Followed:
      
      • Utilizes MFR's and corporate recommended practices for booking diagnosis and repair processes.
      • Seeks clarification if repair documentation is unclear before finalizing booking.
      • Ensures documents submitted for booking are in compliance with MFR's and corporate policies.
      • Ensures the Technicians notes reflect the repairs done and are consistent with the concern. If not, to notify the Service Manager or Shop Foreman.
      • Double checks the 3 "C's" are clear and understandable to a layperson
      • Seeks out and understands all manufacturer's bulletins & publications relevant to repairing and maintaining the product.
        Warranty Claim Rejection Ratio:
        
        • Collaborates with Warranty Administration to minimize rejection of claims input due to inaccuracies in booking.
        • Ensures booking is compliant with all published relevant bulletin or procedure documentation.
        • Identify and report any inconsistency on repair orders to supervisors immediately, utilize for corrections and training purposes.
          Financial Objectives Achieved:
          
          • Ensures all appropriate charges are attached to repair order.
          • Communicates discrepancies between technician's flag time and estimates found during booking to repair lines.
            Satisfied Constituents:
            
            • Ensures concise and clear communication with all "internal" clients.
            • Confers with Foreman or Service Manager if necessary when discrepancies arise over flagging and booking times.
            • Collaborates closely with Advisors and Warranty Admin to ensure consistent, prompt and accurate booking functions occur.
            • Monitors repair activity represented in repair orders for consistent application and compliance with established policies, processes and procedures.
            • Upholds the highest ethical standards and adheres to consistent booking procedures in all repair orders.
              
              Qualifications
              
              
              • Experiene Ideal: previous automotive administrative experience.
              • Experience (Desired): A minimum of 1+ years in position of Warranty Assistant or similar positions in automotive, Retail, Sales, Hospitality or Food & Beverage industries.
              • License (Required) Current California Driver License with satisfactory Department of Motor Vehicle driving record
              • Excellent interpersonal and customer service skills
              • Good verbal and written communication skills
              • Desired: Strong computer and typing skills
              • Strong verbal and written communication skills (Bi-lingual in English and Spanish or other language is an asset in this position).
