Job Description:


Supervises administrative staff in the SCPMG legal department. Responsible for managing workflow procedures for professional liability matters, budget planning and control, personnel administration, training, and communications.

Essential Responsibilities:

  • Manages daily operations in the SCPMG Legal Services Department.
  • Management duties include supervising staff performing the intake, record production, and discovery functions for professional liability claims, as well as professional licensing board actions.
  • Work collaboratively with staff from Kaiser Foundation Health Plan responsible for the professional liability defense.
  • Assess and support the unique practices, technology and systems needs of the professional liability matters. Work with KFHP Legal to review and assess existing processes, look for improvement opportunities and provide recommendations to streamline work and remove duplication of efforts, and to improve timeliness and accuracy of work.
  • Manages staff, timecard submissions and processing, resolution of any non-exempt wage and hour issues that might arise in the course of daily operations, and accountable for the consistent and continuous provision of day-to-day administrative support and liaise with KFHP Legal to review and manage concerns arising in the professional liability support work.
  • Duties include hiring of support staff, goal setting; performance management; human resources; compensation recommendations; administrative staff orientation and training on all aspects of support duties including change management. - Coordinate semi-annual and annual support staff performance reviews by gathering input from attorneys, writing and delivering review documents. Coach and counsel staff throughout the year. Communicate with attorneys regarding staff performance, workload balance on an ongoing basis. Make recommendations regarding compensation.
  • Promote a team environment and provide work direction and guidance including coaching, professional development and training. Develop and promote a dynamic and responsive administrative support operation and resolve grievances. Develop communication mechanisms between staff and attorneys.
  • Manage all aspects of the facilities, including space requirements, office supplies, furniture, equipment and similar needs.

Basic Qualifications:


  • Minimum six (6) years of related experience in a legal setting, to include a combination of the following:
  • Minimum three (3) years of related supervisory experience.
  • Minimum three (3) years of combined business and legal office administrative operations experience, OR minimum three (3) years of experience with a legal background (e.g., paralegal or law office administrator).


  • Bachelors degree in related field, OR four (4) years of experience in a directly related field.
  • High School Diploma or General Education Development (GED) required.

License, Certification, Registration

  • N/A

Additional Requirements:

  • Experience with other database systems.
  • Knowledge of legal applications (e.g., DM5, eCounsel, etc.)
  • Ability to work with minimal supervision.
  • Demonstrated self-initiative and innovation.
  • Ability to handle multiple priorities.
  • Strong supervisory, communication and teamwork skills.
  • Proficiency with MS Office, including MS Excel.
  • Demonstrated ability to provide end user training on basic legal support staff duties and on a variety of applications, including MS Office.
  • Demonstrated organizational and time management skills.
  • Must be able to work in a Labor/Management Partnership environment.
  • Demonstrated success in managing and developing support staff.

Preferred Qualifications:

  • Minimum five (5) years of related supervisory experience.
  • Minimum five (5) years of combined business and legal office administrative operations experience, OR minimum five (5) years of experience with a legal background (e.g., paralegal or law office administrator).
  • Project management experience preferred.
